1 Core Commitment
Glory Children's Academy (GCA) Jalingo, located along Jalingo JAMB Office, Taraba State, is deeply committed to protecting the privacy, security, and digital integrity of our students, parents, guardians, teachers, and administrators.
This document serves as our official disclosure regarding how we handle student records (CA grades, terminal reports, exam transcripts), parent contacts, and other identity materials on our offline school registries, admin ledgers, and secure client-side school portals.
2 Data We Collect
In order to administer high-quality learning, track terminal performance grades, and facilitate parent communication, GCA collects and stores specific educational and personal data:
- Student Academic Portfolios: Continual Assessment (CA) credits, examination grades, behavioral scorecards, teacher commentary records, class positioning, and terminal report card sheets.
- Student Personal Identifiers: Surname, middle name, first name, gender, date of birth, grade/class placement (Nursery, Primary, JSS, SSS), birth certificate snapshots, and passport photographs.
- Parent/Guardian Contact Records: Full legal names, home physical addresses within Jalingo and greater Taraba State, mobile phone numbers (specifically WhatsApp/SMS coordinates for terminal report releases), and email coordinates.
- Financial Account Transcripts: School fee pay-slips, bank transfer confirmation receipts, cash vault logs, installment plans, and general clearance histories.
3 How Data is Used
Data collected by GCA is strictly utilized to operate the academy, maintain school standards, and offer essential communication channels:
- To power the Online Student Report Card Inquiry System, allowing authorized parents to verify grades and download PDF report summaries securely using unique access tokens.
- To dispatch SMS and WhatsApp notifications regarding school resumption calendar schedules, mid-term break plans, and emergencies.
- To compile grade ledgers required by the Taraba State Ministry of Education, WAEC/NECO registries, and external boards for official certification matching.
- To facilitate physical scheduling bookings made at the physical GCA Admissions Desk in Jalingo.
4 Storage Security
The school secures identity information and report cards against physical and cyber vulnerabilities inside highly standardized systems:
- Physical Cabinets: Hardcopy admission files, birth registrations, and physical ledger cards are compiled in fireproof lockable cabinets situated in the Administrative block with restricted registrar-only access keys.
- Database Shielding: Digital student databases and grade spreadsheets are managed under standard authentication schemas, using strong passwords and locked down under secure environments.
- No Browser Leakage: Sensitive teacher login credentials, administrative master-databases, or gradebooks are not stored on public, shared student desktop computer lab layouts.
5 Data Disclosure
Glory Children's Academy holds a strict zero-sharing policy for all private datasets. Personal files of children are never sold, rented, leased, or disclosed to commercial entities for marketing. Disclosure is limited to:
- Authorized legal authorities or educational regulatory inspectorates under Taraba State or the Federal Republic of Nigeria, strictly as needed for official audits.
- Academic boards and national standardized registries (such as WAEC and NECO) for registering secondary class cohorts.
6 Parental Rights
Parents and guardians hold complete authority over their underage ward’s educational records kept at the academy:
- Review Profiles: Parents can physically visit the school registrar at the Admissions Desk to inspect, copy, or confirm their contact coordinates or their children's biodata.
- Correct Errors: If a report card, grade, name spelling, or date of birth shows an error, parents can request a correction by presenting official supporting documents (such as birth certificates or test manuscripts) to class teachers or the administrative board.
